Responsibilities:  Under the supervision of the Chief Deputy Court Clerk, is responsible for setting up, processing and maintaining court files for adoption matters before the court.  Reviews and files petitions and other documents, performs entry of case information to the computer, interprets and processes court orders and other documents, notices adoption matters for hearing, and performs other tasks related to maintaining and processing records.  Tracks the number of adoption  cases assigned to staff.  Ensures that all required legal documents are prepared and noticed as required by Code/Law and other procedural requirements are met.  Prepares notices, summons subpoenas, publications and other documents and ensures time limits are met.  Confers with the Judge as necessary to ensure the accuracy of the orders.  Extracts information from computer system as necessary.   Ensures information is released only as provided by court rules.  Completes information for name changes, emancipations and other related court matters.  Backs up other court support staff.  Performs a variety of general support tasks such as locating files, processing mail, general word processing, data entry, and related tasks as assigned.

 

Essential Job Functions:  With or without accommodations, this employee must be capable of sitting for long periods of time in the courtroom and at a desk performing complex clerical duties in a busy office.  Must have the physical capabilities for continuous operation of typewriter, computer terminals, copiers and other office equipment.  Job requires the visual capacity to scan, read, proofread and correct court documents.  Must have the verbal capabilities to swear in juries and witnesses.  Must have hearing capabilities to listen to statements and orders from the bench.  Must be able to maintain the confidentiality of all court related records.  Absolute discretion is a must.  Must have capabilities to climb ladders (to retrieve files from shelves), stand, walk and carry various objects & weights usually less than 20lbs.

 

Degree/ Experience: High school graduation or equivalent education required. Prefer some college course work in data processing, accounting, and related areas.  Two years of responsible administrative support experience in a division of a court or as a secretary in a law office or closely related setting providing knowledge of adoption procedures, including at least one year comparable to that of a Deputy Juvenile Register III required. Must demonstrate excellent written and verbal communications skills. Must be able to maintain absolute and complete confidentiality and demonstrate discretion concerning matters handled by the courts.  Experience as a clerical group leader preferred.  Good organizational and public relations skills a must.  Must be able to pass a clerical battery of tests.
