DEPUTY COUNTY CLERK II #08-027 $29,225 - $35,069
Responsibilities: Under the supervision of the County Clerk, receives, processes and records documents and records processed by the office of the County Clerk and handles the more difficult requests and processes. Provides counter assistance, issuing copies of vital records such as birth, marriage and death certificates, concealed weapons permits, passports, DBA=s, and other records, and explains the procedures of the Clerk=s office. Answers telephone calls to the Clerk=s office and responds to inquiries related to the processing of vital records and other functions of the office. Directs other callers to proper office or individual. Accepts and processes legal documents, collects fees, and files papers after recording. Assists in preparing and processing various documents such as passport applications, concealed weapons permit applications, assumed names and co-partnerships, and gun permits by checking for proper documentation and typing and responding to related inquiries at the counter and by telephone. Issues marriage licenses by reviewing health certificates, checking residency, reviewing application for completeness, accepting and receipting fees, and preparing marriage license. Keeps track of marriage licenses and waivers and provides data to the health department. Processes birth certificates by reviewing for completeness, assigning numbers, making copies, and filing. Enters information on office records to the computer, retrieves information to respond to inquiries and prepares reports for other agencies of records filed with the County. Counts and balances cash drawer each day including credit card charges. Assists with ballot preparation including, crimping, assembling, and proofreading. Performs other related duties as assigned.
Essential Job Functions: With or without accommodations this employee must have the ability to lift and carry files and records. Must be capable of entering and accessing information from a computer usually requiring manual dexterity. Must be able to retrieve and move books and indexes weighing up to 30 lbs. Lifts, carries and shelves these books, floor to waist, counter height and over head in the vault. Stands for prolonged periods to assist customers at the counter. Climbs ladders and step stools to place and retrieve files. Bends, stoops, and crouches to retrieve records and files.
Degree/ Experience: High school graduation or equivalent education required. Must have six months or more of clerical experience. A minimum of 1 year of work experience as a Deputy Clerk or related experience with vital or business related records desired. Must have excellent customer service abilities and public service understanding. Excellent clerical skills, with proofreading and filing abilities required. Must have good computer knowledge and experience dealing with Windows environment programs MUST BE ABLE TO PASS A CLERICAL SKILLS BATTERY OF TESTS.
